presentation formats

Below are the presentation formats that may be included in the conference programme.

CONVENTIONAL LECTERN/ORAL SESSIONS

This will be a conventional lectern presentation to the general assembly of delegates during one of the conference sessions. The expected presentation times will be followed by question time. There will be an emphasis on generating healthy discussion and debate. Presenters will be encouraged to lead this discussion by highlighting key issues during their presentations and prepare topics for debate. Presentations should have good structure with a clear message and the key points outlined in the introduction. Something unique or engaging in the presentation will make the delivery memorable and hold the attention of the audience.

LEARNING CAFE/ROUND TABLE

Presenter shares work to a small group sitting at a table with them. Every 15 minutes, attendees switch tables, and the presentation starts again with a new group at the table. The typical length for the session is 60 minutes with generally, 5-10 people at the table. The initial presentation is 5-minutes long with 10 minutes being allowed for Q&A and discussion. There is a 5-minute transition time allowed.

SOAPBOX

This format allows the presenter 8 minutes to have their ideas heard. Challenging views are encouraged and could also include the sharing of any projects that are likely to be of interest to the audience.

PANEL DISCUSSIONS

This conversation-based forum is an opportunity to hear from a range of viewpoints on a particular topic to stimulate debate. With this format, a moderator should put forward a discussion topic, and a diverse range of panel members to take part in the conversation. The panel should have a clear purpose and direction and consider what the audience would want to gain from the discussion. Both the moderator and panel participants should be well versed with the topic being discussed, and permission should be sought from the panel members before being put forward. Audience participation should also be considered.

RAPID FIRE

The rapid-fire presentation format is a quick visual style of presenting where a presenter shows 20 slides for 20 seconds of commentary each (6 minutes and 40 seconds total). Challenging views are encouraged and could also include the sharing of any projects that are likely to be of interest to the audience.

POSTERS
(Generally A1 or A0 size)

Posters can be submitted and will be displayed at the conference. In addition, there will be a short opportunity for the author to present for 1 minute on their poster content.

Audio visual requirements

Standard set up for presentations in all conference rooms includes data projector, screen, remote pointer, lectern and microphone (lectern, lapel or handheld microphone) along with a data fold back monitor for you to use at the lectern. It is imperative that we have your audio visual preferences prior to conference.

There is no PowerPoint template for you to use.

We do not require your presentation prior to the conference so please bring it with you on a USB stick (preferably two as a back up or on a laptop). You will upload your presentation with the AV technician in the speaker prep booth and will be advised where to find this closer to the conference date.

If you have videos embedded into PowerPoint, please ensure you save the video files separately onto a USB stick so that there are no issues with linking these files at conference. We will be using wide screens at the conference venue, so if you are using PowerPoint please ensure that your presentation is set to a ratio of 16:9. Should you need advice on converting a presentation then please let us know.

Foldback monitors will be available on the ground in front of the lectern to provide a view of your presentation. If you want to view your notes, then we would recommend having these printed.

All presentations will be converted to pdf and loaded onto the conference website after the conference. It is the responsibility of presenters to advise the conference secretariat if they don’t wish this to happen.
